Rewrite AI text without losing the facts

A smoother sentence can still be wrong. A rewrite might shorten a condition, attach a number to the wrong product or make a tentative date sound fixed. These errors matter in reports, research summaries, product updates and support replies. The goal is to improve the wording while keeping the reader’s understanding of the facts intact.

Start by keeping an untouched copy of the source. If the draft summarises other material, keep that material available too. A rewrite can preserve an incorrect statement perfectly. Checking against the draft and checking against the underlying evidence are separate parts of the job.

Make the facts easy to check

Before editing a report, identify the people, organisations, measurements and dates that matter. Note the units and the period covered by each number. A monthly total and a weekly average can use similar words while describing very different things. Keep the label beside the figure through the edit.

For a research summary, separate observations from interpretations. Keep the study’s limits, attribution and uncertainty. A result in one sample does not automatically describe every customer. Preserve the connection between a citation and the sentence it supports. Moving a citation can make a different claim appear sourced.

In product updates and support replies, check the scope of each promise. A feature available to some accounts is different from a feature available to everyone. An estimated refund date is different from a deadline. Keep exceptions and dependencies close to the action they qualify, even if that makes the sentence slightly longer.

What Ink checks

Ink checks names, numbers, dates, quotes, citations and links and warns if one goes missing. This preservation check gives you specific details to review after the rewrite. It does not establish that every statement is accurate, or that the source was accurate in the first place.

The checks can miss changes. A name can remain while the sentence assigns that person a different role. Two numbers can both remain while their relationship changes. A quote can keep its words but lose the surrounding context. Review the meaning as well as the visible details before using the result.

Choose Light for a draft that mainly needs small wording edits. Balanced changes more phrasing. Strong allows a larger rewrite and needs a careful source check. Work, Casual and Academic contexts guide tone. They do not replace checking the content. For reports and support replies, Work is a reasonable starting point.

Use Compare for a deliberate review

Open Compare after the rewrite and read each changed passage beside its source. Look at removals first. A deleted phrase may be padding, but it may also contain an exception, owner or limit. Then read additions. Confirm that the new wording does not introduce a cause, promise or conclusion the source never made.

Check a report’s headline finding separately from its details. A rewrite can keep every figure and still change what the paragraph claims those figures mean. For a research summary, follow citations back to the source. For a product update, verify the availability and rollout dates with the person responsible.

Read the final version once without Compare. Check whether it still makes sense to someone who has never seen the draft. A technically preserved detail is not useful if its label is unclear or its explanation sits too far away. Make a final edit for the reader after finishing the source review.

Remove padding without removing evidence

Use the AI phrase checker to find wording that may be worth cutting. A match is an editing suggestion, not a reason to delete a technical term or a quoted passage. Leave direct quotes intact unless you clearly indicate an omission and retain their meaning.

The email and work update example shows the web workflow. The deslopping guide explains how to make a draft more direct, and the writing guide gives a broader editing checklist. Use the same review discipline whether you edit by hand or use Ink.
